How Mahaska Community Recreation Foundation Unified Youth Sports Scheduling with WinWon

Mahaska Community Recreation Foundation (MCRF) empowers community connection through youth recreation, serving approximately 5,000 youth annually across baseball, softball, football, cross country, and soccer programs. To support this scale—and manage shared facilities with community partners like William Penn University—MCRF adopted WinWon’s Calendar and Facility Management tools to modernize scheduling.

What was once a manual, fragmented process powered by Google Calendars, texts, emails, and spreadsheets is now a single source of truth where: coaches own their schedules, conflicts are prevented before they happen, and facilities are shared seamlessly across the community.
Coaches Own Their Schedules
Teams create and manage their own schedules on their own time, increasing accountability and reducing manual admin work.
Fewer Facility Conflicts
Real-time availability checks eliminate double bookings and reduce miscommunication.
More Time for Meaningful Work
Automated scheduling, notifications, and recurring events returned hours back to staff to fuel strategic community initiatives.

Overview

Mahaska Community Recreation Foundation believes recreation should be accessible to all, with youth sports serving as a cornerstone of community connection and development. But delivering opportunities at this scale means managing constant coordination: dozens of teams, overlapping seasons, shared fields, night lighting schedules, weekend tournaments, and multi-organization facility usage.

Generic scheduling tools weren’t designed for athletics. As MCRF continued to grow, schedule management became one of the biggest barriers to operational efficiency.

Today, MCRF runs scheduling through WinWon, a system designed specifically for sports—giving clarity to coaches, staff, and partner organizations alike.

Challenge: Disconnected Communication and Missed Opportunities

MCRF’s previous scheduling process relied on general-use tools like Google Calendar, spreadsheets, emails, and endless text chains. Staff entered schedules manually—team by team—while fielding constant back-and-forth messages to confirm field assignments, lighting, and availability. Last-minute requests often came in after hours via texts or calls, creating unnecessary stress and inefficiency.

As a result, the process was time-consuming, fragmented, and difficult to keep updated across the entire organization.

Without a connected system:
  • Conflicts weren’t caught until schedules were already published
  • Partner organizations had no shared visibility into updates
  • Parents, coaches, and staff juggled multiple, often conflicting, sources of truth
As tournament hosting and community programming scaled, so did the operational strain. Scheduling was no longer just an administrative task—it was a bottleneck.
"Our coaches embrace it now. They are able to schedule on their own time and it’s not always a phone call or text message. They can do it and own it.” — MaKenzie Burk, MCRF General Manager

Solution

WinWon delivered a purpose-built system that restored ownership, eliminated manual work, and unified scheduling across the community.

Self-Service Scheduling for Coaches
Coaches now create and manage their own schedules, on their own time—without texting or calling staff after hours.

Built-In Conflict Prevention
Field and facility conflicts are easily detected. If one date needs to change, only that instance is edited—not the entire season.“It shows the field isn’t available, and you can edit just that one day instead of redoing the whole schedule. That's incredibly helpful with our changing schedules.” — MaKenzie Burk, MCRF General Manager

Shared Calendars Across Organizations
MCRF now shares facility calendars with William Penn University, allowing both organizations to coordinate at their shared facilities without confusion or duplicated communication.

Administrative Work Replaced with Strategic Work
By automating manual scheduling tasks, MCRF unlocked capacity to focus on growth and community impact—including planning event expansion for Summer 2026.

Outcome: A Modern Youth Sports Organization, Powered by WinWon

“We have a lot of events at the same location and now no one’s getting frustrated with each other because they don't have that communication. It’s all right there in WinWon.” — MaKenzie Burk, MCRF General Manager
This efficiency comes at a pivotal time for the organization. Next summer, MCRF will host several major tournaments—including a Little League Regional bid—that demand precise, real-time coordination across fields, facilities, and partner organizations. With WinWon’s centralized scheduling and facility management tools, MCRF can plan weeks of events in advance, prevent double-bookings, and communicate schedule changes instantly. What was once a logistical challenge is now a streamlined, collaborative process—ready to scale as MCRF’s operations grow.

With WinWon, MCRF now operates with:

➡ More autonomy — Coaches manage schedules independently
➡ Fewer conflicts — Real-time availability prevents double booking
➡ Stronger community alignment — Shared visibility with partner organizations
➡ Greater organizational capacity — Staff time reinvested in programming and expansion

With WinWon, MCRF isn’t just managing schedules—they’re scaling opportunities for thousands of young athletes and strengthening the Mahaska community.

“Next summer is going to be huge. We have new tournaments and a Little League regional. Being able to see everything and know what’s available it’s going to make all the difference.”

MaKenzie Burk, MCRF General Manager
